Founding Biz Ops Operations Manager
Reports to: Pete Sena
Compensation: $80,000–$120,000 base, depending on experience
About the role
This is a founding business operations role supporting our Founder and team across a connected portfolio of companies working at the intersection of B2B brand, product, and workflow automation with professional services.
The portfolio includes The Resonance, a brand and product studio for startups and growth-stage companies; GPC, an AI automation and workflow company; and Digital Surgeons, the parent company supporting the broader portfolio.
The Business Operations Manager will help create the operational structure, follow-through, and visibility needed to move work across multiple companies, clients, teams, and priorities. This role is team-facing, client-facing, and deeply embedded in the day-to-day operations of the business.
The right person is a strong operator who can bring clarity to complexity, turn founder input into action, and help ensure important work moves from conversation to completion. You will support a fast-moving founder, work closely with internal and external collaborators, and help build systems that improve speed, accountability, and decision-making across the portfolio.
This is not a traditional administrative role. It requires business judgment, operational discipline, strong communication, and the ability to manage competing priorities without losing momentum.
About the working relationship
You’ll be supporting a founder and a small lean team with a fast-paced, iterative working style. We generate ideas quickly, make decisions in motion, and refine our approach as new information emerges.
We need an operator who can keep pace, capture and organize our thinking in real time, and ensure work is translated into clear priorities, owners, next steps, and follow-through.
This role is best suited for someone who can work closely with a visionary founder without requiring constant direction. You should be able to listen carefully, clarify what matters, identify what is missing, and move work forward with confidence.
What you’ll own
Capture
- Maintain a reliable operating system for the founder’s priorities, decisions, open items, commitments, deadlines, and follow-ups.
- Receive inputs in many forms — voice notes, texts, screenshots, Slack, emails, meeting transcripts, and quick conversations — and translate them into clear, trackable actions.
- Give Pete a dependable way to offload ideas, requests, and decisions quickly, with confidence that they will be captured, organized, and moved forward.
- Ensure important context does not get lost between conversations, systems, meetings, or companies.
Organize
- Convert raw inputs into clear action items with context, priority, ownership, and timing attached.
- Maintain a flexible system for tracking work across The Resonance, GPC, Digital Surgeons, client engagements, internal operations, and advisory work.
- Create visibility into what is complete, what is in motion, what is blocked, and what requires a decision.
- Identify patterns, recurring issues, and operational gaps that can be improved through better processes, clearer ownership, or automation.
Coordinate
- Route work to the right person, partner, vendor, or system, and ensure expectations are clear.
- Coordinate across internal team members, creative collaborators, technical partners, clients, and external vendors.
- Build pre-meeting briefs from email threads, CRM data, prior calls, transcripts, and open action items so Pete and the team have the context they need before important conversations.
- Support movement across proposals, SOWs, contracts, client follow-ups, project handoffs, and internal business priorities.
- Work alongside AI tools, agents, and automation workflows to improve speed, accuracy, and operational visibility.
Close
- Follow up consistently and professionally until items are complete, not simply assigned.
- Surface blockers early and help resolve them before they slow down the business.
- Track commitments across multiple companies and workstreams while maintaining a clear view of what matters most.
- Help ensure client-facing and internal work moves through the system with fewer dropped balls, delayed decisions, or unclear owners.
- Refine operating processes based on what is actually working in practice.
Who you are
You are an experienced operator who knows how to create structure without adding unnecessary complexity.
You likely bring a mix of the following:
- Experience supporting a founder, executive, senior operator, or fast-moving leadership team
- Background in or around agencies, consultancies, startups, professional services, founder-led companies, or multi-entity business environments
- Comfortable managing multiple workstreams across different business contexts without letting details blur together
- Clear, concise communication with updates that are accurate, direct, and easy to act on
- Confidence working with AI tools and automation as part of your daily workflow
- The ability to review AI-generated outputs, verify accuracy, improve workflows, and know when human judgment is required
- Comfort working with imperfect inputs, including rough transcripts, quick voice notes, messy Slack threads, and half-formed ideas
- Strong follow-through that gives people confidence work will keep moving
- Care for the quality of the work, the client experience, and the operational details that make a business run well
Experience we’re looking for
Strong candidates will bring relevant experience across operations, founder support, and fast-moving business environments.
We’re especially looking for:
- 5+ years in business operations, executive operations, founder support, chief of staff, project operations, agency operations, EA, or a similar role
- Experience supporting a founder, CEO, executive, or senior leader with a fast-moving working style
- Experience managing priorities across clients, internal teams, vendors, and business functions
- Experience working inside or adjacent to agencies, consultancies, startups, professional services firms, or founder-led businesses
- Comfort with AI tools, automation platforms, project management systems, CRMs, meeting transcripts, and collaborative documentation
- ClickUp or equivalent project management software proficiency, strongly preferred
Nice to have
Additional experience that would be helpful in this role includes:
- Supporting a multi-entity founder, portfolio company, venture studio, or operating company
- Working in agency, consultancy, startup, professional services, or product operations environments
- Designing, implementing, or maintaining AI-assisted workflows
- Managing CRM hygiene, pipeline follow-up, proposal workflows, contracts, SOWs, or project handoffs
- Using lightweight automation tools, no-code tools, or simple internal workflow development

- Pete can quickly capture priorities, decisions, and open items with confidence that they will be processed and followed through
- Major open items are visible and tracked in a reliable operating system
- The team has greater clarity around priorities, ownership, deadlines, and next steps
- Client follow-ups, proposals, SOWs, contracts, and internal handoffs are moving with less friction
- Operational processes have been refined based on what is working in practice
- AI-assisted workflows are being used to reduce repetitive work, improve meeting preparation, or strengthen follow-through
- Leadership reports a meaningful reduction in operational drag and an increase in business throughput
